An AI assistant on your books should prepare, not decide.
An assistant that types a quotation in ten seconds is useful. One that posts an invoice or records a payment on its own guess is a risk. This is how to tell the two apart, and how Najma, the assistant inside Mizarah, is built.
By Muhammad Arslan, founder of Mizarah, who kept a UAE joinery's books for thirteen years · 6 minute read · Updated 24 October 2026 · Practical guidance, not tax advice: confirm anything that matters for your business with your tax agent or the Federal Tax Authority.
An AI assistant on a contractor's books is safe when three things hold: it sees only what the person using it may see, every change it prepares goes through the same checks as the app's own screens (the VAT method, the 100% contract cap, permissions), and nothing is saved, posted, paid or sent until a person confirms it. Najma in Mizarah works this way: it reads, prepares and checks, and you decide.
Let it do the typing. Keep the decisions.
Most of an office's time goes on finding things and typing them in: the customer's TRN, the product's price, the VAT code, which invoices are late. An assistant that reads your books can do that from one sentence in your own words.
What it should not do is decide for you. Whether a quotation goes out, an invoice is posted or a payment is recorded stays with a person who is allowed to do it.
| You ask | It prepares |
|---|---|
| Which invoices are overdue, and by how much? | A list of late invoices from your books |
| Quote Palm Meridian 3 walk-in wardrobes at 18,500 each | A draft quotation with the customer, the prices and the VAT |
| Invoice the delivery note for Villa 12 | The tax invoice from that delivery |
| Add the timber supplier's bill for 12,400 | A draft supplier bill |
| Send the quotation to the customer | The email, flagging an address outside the customer's domain |
| Remind Al Barsha Villas about the overdue invoice | A payment reminder |
It sees what you can see, and nothing more.
An assistant must never become a way around the permissions you set. Najma is only given the parts of Mizarah the person using it can open: a salesperson's Najma sees sales, never payroll and never the bank.
Every action re-checks the person's permission on the server, using the same rules as the screens, so a request to post an invoice needs the same posting permission as doing it by hand. Each person's conversations are their own.
Every change is checked first and waits for your click.
Before anything changes, Najma runs the change through the app's own code as a check and shows you one list: what will work, and what will be refused and why. The checks are the real ones: your company's VAT method, the 100% contract cap, the customer's details, your permissions.
Only when you click Confirm does it happen. How often it asks depends on the mode you choose; that it asks never does.
| Mode | What it does |
|---|---|
| Ask | Answers from your books. Changes nothing. |
| Plan | Works out the steps first. Nothing happens until you confirm. |
| Agent | Prepares the work, checks every change and asks before doing it. |
| Auto | Prepares and checks the whole job; you confirm once. Off unless an owner or admin turns it on for a person. |
Know what it will not do.
Like any assistant it can misread a request, which is exactly why every change is checked and confirmed rather than trusted. It does not file your VAT return: Mizarah lays the return out, and you or your tax agent file it on EmaraTax.
- A paid plan includes 100 tasks a month; a task is one request you send.
- Each company also has a daily limit, so one busy day cannot use up the month.
- It can also search the web for things outside your books.
Najma is part of every Mizarah plan: type or speak your request (voice typing follows your phone's language), choose Ask, Plan or Agent, and confirm each change. Auto stays off unless an owner or admin turns it on for a person, and it never skips the confirmation.
Common questions.
- Is it safe to let an AI assistant work on my accounts?
- It is when the assistant sees only what your role allows, every change goes through the same checks as the app's own screens, and nothing happens until a person confirms it. Najma in Mizarah is built on those three rules.
- Can the assistant see salaries or bank balances?
- Only if the person using it can. Najma is given only the parts of Mizarah its user may open: a salesperson's Najma sees sales, never payroll and never the bank.
- Can it post invoices or record payments on its own?
- No. It can prepare them; the app checks them; you confirm. Posting or recording a payment also needs the same permission it would need if you did it yourself.
- Does it file my VAT return?
- No. Mizarah works the VAT 201 out from your posted documents and lays it out box by box; you or your tax agent file it on EmaraTax.
- How many requests can I make?
- A paid plan includes 100 tasks a month, where a task is one request you send, with a daily limit per company on top.
